PRIVACY POLICY

1. Purpose
This Privacy Policy explains how e-Vents OS collects, uses, stores, discloses and otherwise handles personal information.
e-Vents OS is currently owned and operated by Michael Elcock trading as Mobile Ace Technologies, Trinidad and Tobago.
2. Privacy Principles
We seek to handle personal information consistently with applicable Trinidad and Tobago law and generally recognized privacy principles, including accountability, transparency, purpose limitation, data minimization, accuracy, appropriate retention and reasonable security safeguards.
3. Information We May Collect
Depending on how a person uses e-Vents OS, we may collect:
Account information: name, username, email address, telephone number, account type and profile information.
Organizer information: organizer identity, business or brand information, contact details, event information and staff/role information.
Ticketing information: events, orders, ticket types, ticket identifiers, QR/barcode information, ticket status and check-in information.
Guest information: information entered or imported by authorized organizers for legitimate event guest-management purposes.
Transaction information: amounts, transaction references, payment status, refund information and relevant financial records.
e-Vents OS should not intentionally store complete payment-card credentials where payment processing is performed by an authorized external payment provider.
Technical information: IP address, browser/device information, timestamps, request/security logs and similar operational data.
Communications: support requests and communications sent through the Platform.
4. Information Provided by Organizers
Organizers may enter information concerning staff, guests, partners, customers and other persons.
Organizers are responsible for ensuring that they have an appropriate lawful basis or authorization for information they provide to e-Vents OS.
They must not use the Platform to collect unnecessary, unlawful or excessively sensitive information.
5. How We Use Personal Information
Information may be used to:
- provide accounts and authentication;
- operate ticketing and event-management services;
- issue and validate tickets;
- manage check-in;
- process or record transactions;
- support refunds;
- operate guest lists;
- provide organizer workspaces;
- maintain financial and audit records;
- provide customer support;
- send transactional communications;
- protect accounts and the Platform;
- investigate suspected fraud or abuse;
- comply with legal obligations;
- improve Platform reliability and functionality; and
- enforce applicable terms.
6. Payment Information
When online payment processing is enabled, payment transactions may be processed by an external payment provider.
The provider may collect and process payment credentials under its own privacy and security practices.
e-Vents OS may receive transaction identifiers, amounts, status information and other information necessary to reconcile transactions without receiving complete payment-card credentials.
7. Sharing Information
We may disclose information where reasonably necessary to:
- organizers associated with the relevant event;
- authorized event staff;
- service providers supporting Platform operations;
- payment processors;
- hosting or communications providers;
- professional advisers;
- competent governmental or law-enforcement authorities where legally required; or
- another party in connection with a legitimate restructuring or transfer of the Platform, subject to appropriate protections.
We do not treat personal information as a commodity to be sold indiscriminately.
8. Organizer Access
Event organizers and authorized staff may receive information necessary to operate their events.
Access should be restricted according to Platform permissions.
Organizers are independently responsible for their subsequent handling of information obtained through their event operations.
9. Guest Lists
Guest-management functionality may contain names, contact details, admission status, notes and other event-operational information.
Organizers should only upload information reasonably required for legitimate event operations.
10. Security
We use reasonable technical and organizational measures intended to protect personal information against unauthorized access, alteration, disclosure, loss or misuse.
No electronic system can provide absolute security.
11. Retention
We retain information for as long as reasonably necessary for the purpose for which it was collected and for legitimate operational, security, financial, audit, dispute-resolution and legal requirements.
Retention periods may differ depending on the type of information and transaction.
Information that is no longer reasonably required should be deleted, anonymized or otherwise appropriately disposed of, subject to legitimate retention obligations.
12. Accuracy
Users should keep account information reasonably accurate.
Where appropriate, users may update information through available Platform functions or contact us concerning material inaccuracies.
13. Access and Correction
Subject to applicable law, technical limitations and legitimate security requirements, individuals may contact us concerning personal information held about them and request correction of inaccurate information.
We may require reasonable identity verification before responding.
14. International Processing
Some infrastructure or service providers may process information outside Trinidad and Tobago.
Where information is transferred internationally, we will seek to use providers and arrangements offering appropriate safeguards having regard to the nature of the information and applicable requirements.
15. Cookies and Similar Technologies
e-Vents OS may use cookies, session storage or similar technologies required for:
- authentication;
- security;
- session management;
- user preferences;
- Platform functionality; and
- legitimate analytics.
Where additional consent is legally required for a particular technology, appropriate controls should be provided.
16. Communications
We may send transactional communications relating to accounts, tickets, events, security, transactions and service administration.
Marketing communications should be distinguished from operational communications and handled in accordance with applicable requirements and available opt-out mechanisms.
17. Children's Information
e-Vents OS is not intended to encourage children to provide unnecessary personal information.
Organizers operating events involving minors remain responsible for implementing appropriate age, consent and safeguarding practices.
18. Security Incidents
Where a security incident affects personal information, we may investigate, contain and remediate the incident and provide notifications where required or appropriate under applicable law.
19. Third-Party Links and Services
The Platform may link to external websites or services.
Their privacy practices are governed by their own policies and are not controlled by e-Vents OS merely because a link appears on the Platform.
20. Changes to This Privacy Policy
We may update this Policy to reflect Platform, operational or legal developments.
The current version and effective date will be made available electronically.
Material changes may be communicated through appropriate means.
